Who we are
Initiative X Ltd ("IX", "we", "us") operates the IX membership platform, connecting members with a network of premium hospitality, wine, travel, and lifestyle businesses. Our registered address is 8 Slingsby Place, London WC2E 9AB, United Kingdom.

What data we collect
We collect the following personal data when you join IX or use our services:
- Identity: first name, last name, date of birth
- Contact: email address, phone number, home address
- Membership: tier (Explorer/Patron), member ID, join date, subscription status
- Preferences: dining style, dietary requirements, occasion types, lifestyle interests, vertical affiliations
- Activity: visit history, booking records, rewards balance, interaction history with our concierge
- Payment: processed securely by Stripe. We do not store card numbers.
- Technical: device type and browser when using our services; anonymous usage analytics only if you accept the analytics cookie (see Cookies below)
Why we collect it
We use your data for the following purposes:
- Personalisation: tailoring recommendations, offers, and concierge responses to your preferences
- Service delivery: managing your membership, processing bookings, issuing wallet passes, tracking rewards
- Communication: booking confirmations, reminders, and (if you opted in) newsletters and event invitations
- Network coordination: sharing relevant preferences with partner venues so they can prepare for your visit (e.g. dietary needs, seating preference)
- Improvement: understanding how members use IX to improve the platform
Legal basis: consent (provided at sign-up), legitimate interest (service delivery), and contract performance (membership terms).
Who we share it with
We share your data only with:
- IX partner venues (e.g. UKIYO) — only the preferences relevant to your visit (name, dietary needs, tier). Never your full profile.
- Stripe — payment processing for Patron subscriptions
- Airtable — secure member database hosting (EU/UK data centres)
- Google — wallet pass generation (Google Wallet API)
- Email provider — transactional emails (booking confirmations, wallet pass delivery)
We never sell your data. We never share it with advertisers.
How long we keep it
- Active members: for the duration of your membership
- After you leave: 24 months, then permanently deleted
- Financial records: 7 years (UK legal requirement)
- Marketing consent records: retained as evidence of consent until withdrawn
Your rights
Under UK GDPR, you have the right to:
- Access your data — request a copy of everything we hold about you
- Correct inaccurate data
- Delete your data ("right to be forgotten")
- Port your data to another service
- Withdraw consent for marketing at any time
- Object to processing based on legitimate interest
- Complain to the ICO (ico.org.uk) if you believe we've mishandled your data

Cookies
Our website uses one analytics cookie — Google Analytics (GA4) — and only if you accept it via the cookie banner shown on your first visit. It helps us understand how the site is used (pages visited, general location, device type). We do not use it to identify individual visitors.
- If you accept: the Google Analytics cookie is set and anonymous usage statistics are collected.
- If you decline: no analytics loads and no analytics cookie is set. Your choice is remembered in your browser (localStorage) so we don't ask again.
- To change your mind: clear this site's data in your browser settings and the banner will reappear.
We use no advertising cookies, no tracking cookies, and no third-party marketing pixels.
Children
IX is not intended for anyone under 18. We do not knowingly collect data from minors.

We may update this policy from time to time. The "last updated" date at the top will change. For significant changes, we'll notify you by email.
